Lead capture & management

Scan the badge.
Qualify it on the spot.

A dedicated scanning app and a full web app, so exhibitors, sponsors and your own team capture leads with the context that makes them worth following up — hot, warm or cold, with a note attached, before the conversation has left their memory.

App and web Works offline B2B and B2C

Why most lead data is worthless

A spreadsheet of 400 names with no indication of which twelve actually wanted to buy something.

The scan is the easy part. What decides whether the list gets worked on Monday is whether it carries qualification, a note, and the name of the person who had the conversation. AdmitMe captures all three at the moment of the scan, because that is the only moment anyone remembers.

Two ways in

A scanner in the hand, a console on the stand.

Stand staff use the app because it is fast and works when the venue WiFi does not. Sales managers use the web app because they want to see the whole pipeline building in real time, from the office.

APP

The scanning app

For the people standing on the stand. Optimised for one hand, one thumb and a conversation happening at the same time.

  • Scan a badge in under a second
  • Tag the lead hot, warm or cold as you scan
  • Type or dictate a note before you forget it
  • Every scan is stamped with the staff member who took it
  • Queues offline and syncs in bulk when signal returns
  • Multiple staff scanning to the same stand at once
WEB

The web app

For everyone who is not on the floor. The same lead pool, with the tools to sort it, split it and send it somewhere useful.

  • Live lead list as scans land, per stand and per operator
  • Filter by qualification, staff member, day or time
  • Edit and enrich notes after the conversation
  • Export to Excel or CSV in one click
  • Share a lead set with a colleague or a partner
  • Works on a laptop at the stand or a desk in another state

Qualification

Three states, decided in the moment.

Lead scoring invented a week later is fiction. AdmitMe asks for the judgement while the person is still standing in front of you, because that judgement is the only one that is accurate.

Hot

Ready to talk commercials. Goes to sales the same evening, not after the post-show data cleanse.

Warm

Genuine interest, wrong timing or wrong person. Goes into nurture with the note explaining which.

Cold

Took a pen. Still counted for footfall and stand performance, still kept out of the sales queue.

  • Notes at the point of scan. "Wants pricing for 40 units, decision in March, ask for Priya" is worth more than the other 399 records combined.
  • Operator attribution. Every scan records who took it, so the follow-up call can start with a name and a memory rather than a cold open.
  • Timestamped. You can see which sessions and which hours produced the leads that actually converted.

Every event type

Not only trade shows.

The mechanism is the same whether the badge belongs to a procurement manager or a festival-goer. What changes is what you do with the record and what you are allowed to collect — and consent scope is set by you, per event.

B2B — trade shows, expos, conferences

Exhibitors scan attendee badges for qualified pipeline. Company, role and contact details come from the registration record, so nobody is transcribing a business card into a phone at 4pm on day two. Leads export straight into whatever CRM the sales team actually uses.

  • Company, role and contact from the registration record
  • Per-exhibitor lead sets, isolated from each other
  • Stand performance by operator, hour and day

B2C — festivals, consumer shows, activations

Brand activations, sampling stands and competition entries capture opt-ins the same way, with the consent recorded against the scan rather than assumed from a signup sheet. Sponsors get the engagement data they paid for; attendees get to decide what is shared.

  • Explicit, per-activation opt-in recorded with the scan
  • Sponsor engagement reporting without handing over the full list
  • Competition and sampling entries deduplicated by ticket

Sharing

You decide what leaves the event.

Lead data is the most sensitive thing an event produces, and most platforms treat it as a free-for-all. AdmitMe makes sharing an explicit act with a scope attached.

  • Organiser sets the scope. What fields exhibitors can see, when they can see them, and whether they can export at all.
  • Exhibitors see only their own. Each stand retrieves its own lead set and nothing else — enforced at the API, not in the interface.
  • Attendee consent is recorded. The scan captures the permission, so there is an answer when someone asks how you got their details.
  • Share sets deliberately. Push a filtered lead set to a partner, a co-exhibitor or a sponsor without handing over the whole database.
  • Organiser export. Full Excel or CSV export across every stand, for reconciliation and for proving stand ROI at renewal time.

Commercials

Sold per exhibitor, not per organiser.

Lead capture is licensed per exhibitor as an add-on, priced on request. That matches who gets the value: the stand holder chasing pipeline pays for the licence, rather than the cost sitting on your event budget. Plenty of organisers resell it as part of a stand package and keep the margin.

Tell us your exhibitor count and how many scanning devices per stand, and we will quote it.

Get a licence quote

Organiser-side reporting and export are part of the platform. The per-exhibitor licence covers the scanning app and each stand's own lead console.
